  • What are we assessing and reporting, and why?

In the division of student affairs, we are working to foster a culture of data driven program improvement. We provide assessment strategies, implementation, and reporting to support departmental and institutional goals. We help departments measure learning outcomes for their student users, track and report student retention, align program goals with assessment strategies, find new opportunities for mutually beneficial data sharing, and more.

  • What is our retention rate?

The retention rate is the percentage of a school's first-time, first-year undergraduate students who continue at that school the next year. For example, a student who studies full-time in the fall semester and keeps on studying in the program in the next fall semester is counted in this rate. Departments should not anticipate identifying this rate until mid-October.
Would this data help you learn more about your students or your program/service?
Using institutional systems such as Eagle Access Card Swipe and Handshake, we can help you better understand how your program/service contributes to student retention by sharing how your student users stack up against non-users, as well as other departments.

  • Can you help me with annual report submission?

We know there are a lot of different platforms and processes for a variety of required tasks and it's hard to keep straight. We are collecting info for the annual report on Anthology (formerly Campus Labs). Below is a step-by-step guide on what info we are looking for and how to provide it or, if you continue to need assistance feel free to reach out to us for 1:1 support at DSAassessment@unt.edu.

  • I am creating a survey, do I need to involve IRB?

Certain assessment activities may have the characteristics of research and therefore, require IRB Review. IRB review is required for projects that meet the federal definition of research involving human subjects. Research Integrity and Compliance staff determine whether your project meets the federal definition as outlined in 45 CFR 46.

Division of Student Affairs staff should complete this form anytime assessment activities or surveys involve the following:

    • Survey is administered by an organization external to UNT (EBI, NASPA, NIRSA, Trellis, other universities, etc.)
    • Personally identifiable information is collected
    • User/non-user studies
    • It is anticipated that findings will be shared externally to UNT, such as a conference presentation or article submission
    • Data collection includes non-UNT students
    • Data collection is used for any purpose other than internal department decision-making

Once submitted, Research Integrity and Compliance staff will issue a formal response for your records and state if further action needs to be taken.

The Division of Student Affairs Assessment Staff is here to assist you with the completion of the form, as well as support you in completing the IRB process if required.

  • Do I need to get FERPA training?

Do you have, or are requesting, access to our EIS system? You are required to take FERPA training. Depending on what else you may want to track, report, or share, FERPA training may be necessary for you as well.

Any time we are collecting data on individuals, we need to ensure we are taking adequate care with this sensitive information and are collecting, storing, and sharing it ethically. The Family Educational Rights and Privacy Act (FERPA) is a federal law enacted in 1974 that protects the privacy of student education records. An eligible student is one who has reached age 18 or attends a school beyond the high school level. FERPA generally prohibits the improper disclosure of personally identifiable information derived from education records. Thus, information that an official obtained through personal knowledge or observation, or has heard orally from others, is not protected under FERPA. Click here to complete the FERPA Training.

  • Can you help me with Student Learning Outcomes?

Using the Anthology platform (Formerly Campus Labs) we are working to formalize how we measure learning outcomes from student participation and/or employment with our DSA programs, departments, services. Within the system, there are a series of planning templates to help appropriate staff align strategies with desired outcomes so the division as a whole can better articulate to students, faculty, and ourselves how student growth, knowledge, skills, and professional experience are developed through our work with them. The platform helps you identify outcomes you want to focus on, plan how students can demonstrate mastery, and the methodologies to do so. These outcomes are categorized into 7 overarching learning domains based on the Texas Higher Education Coordinating Board's key marketable skills, we are working to elevate these domains through the work we do with students in the division; Critical Thinking, Communication, Empirical and Quantitative skills, Teamwork, Social Responsibility, Personal Responsibility, and Leadership.
