Instructor Overview page - Viewing Letters of Accommodation within AIM:

The Instructor Overview page shows information about each class and each student within those classes who has requested letters of accommodation. Throughout the semester, this list will change as students submit requests to use accommodations. Students may submit mid-semester requests due to either a student deciding that they need accommodations in your class or because they have completed registering with the ODA and accommodations are then available. 

Instructors will always receive a letter of accommodation when it is requested. Instructors will also receive an updated letter of accommodation if a student adds or removes an accommodation throughout the semester. Instructors find it helpful to check in the AIM portal periodicially to make sure that they have accounted for all student accommodations since they may receive a lot of emails throughout the semester.

If a student has registered with our office but has NOT requested their letters of accommodation, the ODA does not disclose that they are registered with us and therefore you will not see their name listed under a given class.

The following columns are on the Overview page:

  • VIEW: Allows you to view the letter of accommodation. 
  • CRN: This is a course number specific for AIM. It can be disregarded.
  • SBJ, CRS, SEC: This is the course subject, course number, and section.
  • Student's Full Name: You will be able to see their full name. If it has *** (stars) next to part of their name, it is likely that you are off the campus network and this is blocked out for privacy reasons. In this case, please reference the letter of accommodation you received via email if you are unable to identify the student. 
  • TST: Indicates whether the student has any alternative testing accommodations. 
  • NTK: Indicates whether the student has any notetaking services. 
  • ETX: Indicates whether the student has any alternative format accommodations.
  • COM: Indicates whether the student has any communication access accommodations (for Deaf and Hard of Hearing). 
  • Request Date: Indicates the date the student requested their letter of accommodation initially.
  • Last Updated: Indicates the date the student updated their letter of accommodation, if applicable.
  • Status: Indicates if the faculty has read the letter of accommodation in the AIM portal, if it has been emailed to the instructor, or if the student has canceled the accommodation request in that class

Instructor Overview page

Due to FERPA concerns, the ODA generally prefers to not provide, via email or phone, instructors with a list of students in individual courses who have requested accommodations as each instructor has access to that same student their AIM Overview/Homepage within the AIM Instructor Portal. 

Utilizing the Advanced Search Panel

Instructors who teach many courses may find the Advanced Search Panel helpful. With this search panel, Instructors can search for students who receive accommodations in one specific class, instead of a list of all of their classes.

Searching for Specific Accommodations (Eligibilities)

Instructors may find it helpful at times to search a class for all students with one accommodation. For example, if an Instructor is in Canvas and extending the time for all students with an extended time on tests and quizzes accommodation, they may find it helpful to pull up all students with this accommodation. Faculty can do this by using the many export options on the Overview page, customizing to their preference.
